Viewing Your Online Statement

Viewing their statement online will allow you member's the ability to check their balances, see payments that were submitted as well view other related information such as Credit Books, Levy Purses and Minimums. When viewing their Statement online members will be able to see the following information persisted throughout the various sections of their Statement.

  • Member Name - The owner of this statement will be visible right under the tabs of the various sections of your statement.
  • Member Number - Directly adjacent to the owner of the statement will be their corresponding member number.
  • Contact Accounting - This option is visible from all Statement sections and will allow an e-mail to be sent an address of your choosing. The subject of the message will be pre-populated with the section you are currently in.
  • Print - The Print option will allow your members to print the section of their Statement that they are currently viewing.
  • Updated Date - The date referenced here is represents the last time your member's Statement has received an update.
  • Pay Now (optional) - The Pay Now button will allow your member's to access a standalone online payment service similar to ePayments.
Note: The date specifed will only be changed if the member's statement has new information.

Account Summary

The Account Summary view of a member statement will provide your members with a summary of their account information including the balance of last statement, current balance, and minimum information. Additionally, members can access their current/unbilled statement as well as any statements from the previous 12 months. To view account information, users must first log in and then navigate to Statements module on your website.


 

Current Balance

If you are allowing your members to see their Unbilled Statement, the balance reflected in the top left hand corner of the Account Summary will represent the Current Balance. 

Unbilled Statements

Unbilled/Current statement information is determined by the month-end rollover configuration within the Statement Configuration Settings. This allows Administrators to notify members if a statement is unbilled/current and not ready for payment, compared to a billed, finalized and ready for payment statement. Clicking on any of the Unbilled Statement months will direct users to a detailed view of that particular Statement Period. Administrators can control if Unbilled/Current statements are displayed to users through the Statement Configuration Settings. Administrators can also modify the column headings and labels of the statement from the Customization of Online Statements.

Billed Statements


The Billed Statement area will display the previous 12 months that have already been closed out by the club and are considered billed for. Members who wish to review a previous months activity have the ability to click on the particular month to review that Statement Period.

Statement Period

The Statement Period tab allows users to view details of a particular month depending on the start and end date of the billing cycle. In order to select an alternative Statement Period, click on the click on the Statement Period drop-down and select the desired period you wish to review. Users may access up to 12 months of previous statement activity.

When viewing a particular Statement Period, all activity within that period will be displayed in the order of oldest to newest starting with the Balance Forward from the previous month. Highlighting and clicking on a particular line item, will display the associated chit information if available. While viewing a chit, a member can choose to contact your club regarding the details by clicking on the Contact Accounting button.


Minimum Balance

If Minimum Billing Cycles are utilized by your club, select Minimum information can be displayed on a member's statement. The following information is visible to your member online:

  • Plan Name - The name reflected here is the designation of the Minimum Billing Cycle the member is currently associated with.
  • Minimum to Spend (Min. To Spend) -  The Minimum to Spend amount is a predefined amount dictated by your accounting software. The amount reflected here represents the total dollar amount that can be utilized by a member during the Minimum Billing Cycle they are assocaiated with.
  • Spent To Date - This amount represents the dollar amount that has been utilized of their set Minimum to Spend within the current Minimum Billing Cycle.
  • Balance - The dollar amount reflected here represents how much of the original Minimum to Spend amount is remaining in the current Minimum Billing Cycle.
  • Starting/Ending - The dates reflected here represent the beginning and the ending of the current Minimum Billing Cycle.

Aging

Accounts Receivable (AR) Aging can be displayed within the online member statements. AR Aging is a periodic report that classifies outstanding receivable balances for a member. This information is broken up into five specific periods within the online member statement. These periods are as follows:

  • Current Balance - This total stated here represents the member's total balance owing for less than 30 days.
  • 30 Days Balance - The total stated here rpresents the member's total balance owing for 30 - 59 days.
  • 60 Days Balance - The total stated here represnts the member's total balance owing for 60 - 89 days.
  • 90 Days Balance - The total stated here represents the member's total balance owing for 90 - 119 days.
  • 120 Days Balance - The total stated here represents the member's total balance owing for 120 days or more.
Note: AR Aging details will only appear within billed statements and are not available on current/unbilled statement periods.

Statement Messages

The Statement Message area will appear at the absolute bottom of a member's online statement. There are two different Statement messages that can be displayed within this section:

  • Club Statement Message - These messages are configured in your club's AR system and can be associated with particular Billing Cycles. These are the same messages that will appear on a physical statement that is normally mailed to your members.
  • Web Only Statement Message - These messages are configured within your Clubhouse Online website and are only reflected online. These messages cannot be configured based on Billing Cycles and will appear on every member's statement if activated. For more information on configuring Club Statement Messages and/or Web Only Statement Messages, please see section Statement Message Settings.

Credit Books

Credit Books and Loyalty balances that are tracked within your club's AR system, can have their current balances displayed online. Primary members will have the ability to see their own Credit Books and Loyalty balances, as well as their dependents balances as well. If the primary member has provided their dependents access to view their statement online, dependents will also have the priviledge of viewing their own Credit Book balance along with the primary's balance as well.

The configuration of the Credit Book and Loyalty Balance section can be controlled by Administrators within the Statements Configuration Settings.
 

Note: Credit Books are only available to Jonas Club Management systems.

Levy Purse

If your club utilizes Levy Purses within your AR system for your members, their transactions and balances can be displayed within their online statement. The information displayed for a member's Levy Purse is divided into Levy Periods based on month the transactions occured. Each purse will be display the following information:

  • Levy Purse Name - The name of of the Levy Purse the transactions listed below are associated with.
  • Status - The current status of the Levy Purse within your club's AR system. Levy Purses can be Active or Inactive.
  • Current Balance - The total balance of the Levy Purse based on the Levy Period you are currently viewing.

Within the Levy Purse activity, the first item will always be the Balance Forward from the previous month similar to Statement Period activity. The following additional information will be visible within the Levy Purse activity:

  • Date - This represents the date within the Levy Period that the transaction took place.
  • Description - The description of the transaction applied against the Levy Purse.
  • Cost - These totals represent the cost of each item applied against the Levy Purse.
  • Final Total - This total represents the final sum of all the transactions applied against the Levy Purse.

The configuration of the Levy Purse can be controlled by Administrators within the Statement Configuration Settings.

Note: Levy Purses are only available to Jonas Club Management systems

Mobile View

The Online Statements module is a fully responsive application. What this means for your members, is that whether they are viewing their statements via a desktop/laptop computer or on a mobile device such as a smartphone or tablet, their statement will automatically be adjusted to suit their device.
