ClubHouse Online Single Server Pre-Requisites Form

SINGLE SERVER INTEGRATION INSTALLATION

Hardware Requirements  -  Integration Network & Security Information

Please fill out and complete the following requirements for the Clubhouse Online Server Integration for the club you have listed above. These requirements must be completed and have the form submitted to us prior to an installation being completed. Once this form has been received by our Tech Team, the will contact the individual listed below to schedule an installation date and time.

Note: All Installation dates are assigned on a first come first serve basis but installation dates can be changed based on Tech availability.

IT / Network Administrator Contact Info

The name of the person that will provide us access to the server(s) as well as troubleshooting any server issues we may encounter.

Windows Application Requirements

IIS(Internet Information Services)

The club’s website will be hosted on ClubHouse Online Web Servers. In order to integrate the website with the Encore system, we will require IIS to be installed on the club's server. Depending on the Windows version the server has installed a number of components will be required along with IIS. Please select your server OS below to see what is required.

As with the Encore system, the Clubhouse Online Integration is reliant on a SQL Environment in order to function in its entirerty. Prior to having the Clubhouse Online integration installed, the club must have Encore installed on the new server and utilized by the club. Once it has been completed the Web Technician will be able to completed the Clubhouse Online integration installation.

Server System Settings

Time Synchronization

In order to ensure our clients are servers a properly synchronized with our servers, we require an internet time service be configured on their network. If the Club has a domain setup they will need to configure the domain controller to synchronize with this time service.

Recommended: time.nist.gov

TLS Encryption Settings

As TLS 1.0 and 1.1 have been officially deprecated by Microsoft and are leading authorities as of Oct 2020, Clubhouse Online utilizes TLS 1.2 encryption for all communication to and from your club's server. To that effect please ensure that TLS 1.0 and 1.1 have been disabled and that TLS 1.2 has been enabled in your windows server settings prior to submitting this form.

User Account Creation

In order for the integration to Clubhouse Online to function correctly, the Windows services that will be installed on the server must have access to the necessary Windows components and Jonas Software files outlined in these requirements. To ensure all necessary permissions are granted upon installation, a Local Administrator account must be provided. This user account will only be applied to the Windows services during the installation and will not be utilized for server access.

This User Account should be set with the following credentials:

  • Set as a Local Administrator or part of the Administrators Group
  • Password does not expire

Note:This user acccount does not require any domain privileges as it will only require full permissions on the local environment. If your club is using an internal domain, it is only necessary to add the Local Administrators Group and NOT the Domain Administrators Group.

These credentials will need to be provided to the Tech when they connect to the server(s) to complete the Clubhouse Online Integration re-install.

User Account Control

U.A.C.(User Account Control) will cause permission issues for the integration and is recommended to be turned off completely. Understandably this can't always be accomodated so this will function under the lowest level "Notify me only when apps try to make changes to my computer (do not dim my desktop)".

Windows Firewall/Internal Port Rules

In order for the club's Server and POS/Admin workstations to communicate properly with Clubhouse Online, a number of network ports must be made available. If an internal network firewall or the Windows Firewall has been implemented the following ports must be open:

SQL ports(1433 & 1434)

These ports are utilized for communication between the club's workstations and the SQL database that is running on the club's server.

Network Communication(9000 & 9222)

These ports are utilized for communication between IIS and the Integration applications on the clubs server.

Note: These ports are only required to be opened internally on the club's network. The club's external firewall does not require these ports to be configured for access.

Encore Server: Software Requirements

Prior to the Clubhouse Online installation taking place on the club's new server, the following Jonas Software requirements must be met:

Encore

  • Encore Database and files must be migrated to the new server.
  • Encore system must be activated on the new server.
  • All workstations that would be accessing the Encore system must be connected to the new server

Terms of Agreement

All server requirements listed on this form must be completed in order to receive a scheduled installation date. If the information on this form incomplete ,we will be unable to schedule a date for installation until we received all requirement information. If the information on this form is inaccurate or has been completed falsely, we reserve the right not to schedule a date of installation until all information has been corrected and provided.

It is within the club's best interest to have this form filled out completely and accurately to avoid additional downtime with the integration of their website. If the requirements have not been met prior to the scheduled installation date, your install will be postponed until these requirements are completed. The next available installation date will be determined by the scheduler once they have confirmed with the IT Contact that the requirements have been completed.

All installations are scheduled based on the date of receiving this form. Installers are not obligated to contact alternate individuals other than the one listed on the form unless instructed otherwise. It is your responsibility to ensure the correct contact information is provided upon submission of the form or provide additional instructions prior to the installation. If the installer is unable to communicate to the contact listed via phone, an e-mail will be sent to that contact and club notifying that the installation will need to be rescheduled for another date.

Once an installation date has been scheduled, postponing or cancellations must be communicated to websupport@jonasclub.com at least one (1) day prior to the scheduled install date. Due to the high volume of installation requests, installs may or may not be rescheduled within the same week.
