Configuring Court Privileges

Activity Management

The Court Privileges settings located in Activity Management allow you to dictate for certain members whether they are able to be included in a court booking as well as when a booking can be completed. There are multiple parameters that can be configured within Court Privileges to control booking options which include:

Court Privileges Detail

The Court Privileges Detail section consists of the basic information of the Court Privilege.
 
  • Description - The name of the Court Privilege
  • Court Type - This is the Court Type that the Court Privilege will be associated with.
  • Active(checkbox) - This will determine if this Court Privilege will utilized for Court Bookings.

General Settings

The Settings section under the General tab, is portion of how this Court Privilege will be used with Court Bookings. The settings that can be configured in this area are as follows:

Apply this privilege to online Guest Bookings

This setting will apply all of the parameters configured in the Court Privilege to any guest player within a court booking completed online. When utilizing this feature, the Court Privilege be applied to a Member Status, Acitivity/Category or Member/Guests directly underneath the Application tab.

Court Privilege Settings

The Court Privilege Settings allow you to configure the schedule in which the members who this Privilege will be applied to will be able to play. The schedule configured here will fall within the Hours of Operation established in the corresponding Court Type. In order to configure the Court Privilege Settings you will need to follow these steps:
Activity Management

  1. Click on the Court Privilege Settings button.
  2. Under Active Date Ranges, Set a From Date and To Date (DDMMYYYY).

Note: The Active Date Ranges do not need to be confined to a single year. It can be set to span multiple years.

  1. Once you have setup your Date Range, click on time slot under the desired day of the week.
  2. Drag your cursor down to select mulitple time slots you wish to have in your Time Range.
  3. Right-click on the highlighted time slots to create your Time Range.
  4. Repeat these steps under each day you wish to configure.
  5. Once you are satisfied with the Date and Time Ranges, click the close button.
  6. From the Court Privileges dashboard, click on Save to confirm the changes you made.

Note: If you need to remove an Active Date Range from a Court Privilege, the Time Ranges must be removed first.

Bookings

The Bookings settings within a Court Privilege allow you to configure the Advance Booking Restrictions and the Number of Bookings that can be made within a specific period.

Number of Days in Advance Booking

This setting dictates how many Days in Advance a booking can be completed for a member within Activity Management and how many Days in Advance a member will be able to make a court booking online. If a member attempts to view any days in the Court Scheduler beyond this setting, they will see the times as 'Not Available'.

Note: A day in Activity Managment is calculated hourly based on a 24 hour period whereas a day online is calculated as full day and not hourly.

Ex.
Current Time: 8pm Monday
Activity Management Days in Advance setting: 1 Day
Available Times displayed in Activity Management: Monday 8pm - Tuesday 8pm
Available Times on Court Scheduler: Tuesday 12 am - 11:59 pm (or what your Court Privilege Time Range is configured to)

Number of Bookings in specific period

Members
These settings determine how many bookings a member can make online or have booked within Activity Management in a  Day, Week, Month or Year.

Guests
These rules(Guest Accompaniment Rules) apply to members who are adding a guest to their bookings. This will dicatate how many bookings can be made online or within Activity Management  in a Day, Week, Month or Year.

Application

The Application settings will allow you to dictate who this Court Privilege will apply to. The options for Application are by Member Status, Activity/Category or Member/Guests

  • Member Status - If you choose to apply the Court Privlege to your members based on Member Status, you will need to check off Member Statuses you wish to include. 
  • Activity/Category - If you choose to apply the Court Privilege based on either Member Activities and Categories, you will need to complete the following steps: 
    1. From within the Court Privilege Application tab, select the Activity/Category tab
    2. Right-click in the listing area and select 'Add New Item'
    3. Choose your Activity and your Category
    4. Check off the Apply checkbox.
    5. Repeat the steps until all desired Actvities and Categories have been added.
    6. Once you are satisfied with your additions, click on the Save button from the Court Privileges dashboard.
  •  Member / Guests - If you choose to apply the Court Privilege based on specific Members and/or Guests, you will need to complete following steps:
    1. From within the Court Privilege Application tab, select the Member/Guest tab
    2. Right-click in the listing area and select 'Add New Item'
    3. Select either Member or Guest as your Type:
      • If you chose Member, click on the elipsis under 'Assign' to choose your member
      • If you chose Guest, click on the elipsis under 'Assign' to choose from your guest database
      • If you chose Guest, enter in a First Name and Last Name if you don't utilize a Guest database.
    4. Repeat the steps until all desired Member or Guests have been added.
    5. Once you are satisfied with your additions, click on the Save button from the Court Privileges dashboard.

Note: Any Members that are added in this section will have the Court Privilege applied to them only.
