Configure Options and Notifications

From the Registration and Pricing Tab the Options and notification sections can be modified for each event. If the Notifications are enabled, the Email Notification tab will become available to edit the header and footer sections of the notifications for an individual event. 

The options and notifications can be setup when an event is being created or edited afterwards. 
  1. Select Modules > Event Management from the Applications list. 
  2. Select Create Event and click on Registration and Pricing tab.
  3. or select Manage Events from the left navigation.
    1. Find event and Click pencil icon to edit event.
    2. This opens the Edit Event window and click on Registration and Pricing tab.

Options

  • View Other Attendees
    • Unchecked: Members would have to contact the club to find out who else is registered for this event.
    • Checked: The Others Attending option will display in the event details. Members could click Others Attending to view all other registrants in this event without contacting the club.
    • Any member that made changes using Edit My Profile and selected Hide me from Event Attendance List, will not appear in the Others Attending list of registrants.
  • Allow Wait list
    • Unchecked: Register button will disappear once the event has reached the Event Attendance Limit. The event is full and no longer taking any more registrants.
    • Checked: The Register button will change to display Add to Wait List, once the event has reached the Event Attendance Limit. These registrations will be added to a wait list and will not be included in the total number of registrants for the event. For more information see How to Manage the Wait List.
  • View Waiting List 
    • The View Waiting List option will only display if Allow Wait List is checked.
    • Unchecked: Members would have to contact the club to find out who else is on the wait list for this event.
    • Checked: The Others Attending option will display in the event details. Members could click Others Attending to view anyone that is on the wait list for this event, without contacting the club.
    • Any member that made changes using Edit My Profile and selected Hide me from Event Attendance List, will not appear in the Others Attending wait list of registrants.
  • Allow Guests
    • Unchecked: Add Guest button will be hidden for this event during the registration process for both members and administrators.
    • Checked:  Add Guest button will be displayed for this event during the registration process for both members and administrators.
    •  If Pricing Only or Registration and Pricing event is being created, this will allow a different price to be displayed for guests if applicable. This pricing information will be visible in the Event Details section when members click on More info.
  • ​Disallow Cancellation
    • Checked: When this option is enabled, members will not be able to cancel their booking for this specific event. The Cancel button will be hidden from the member's view. If they wish to cancel after registering, they will need to contact the club directly.
    • Unchecked: Members will be allowed to cancel their booking for this event after registering, up until the cancellation policy deadline—provided a cancellation policy has been configured for the event.
  • ​Cancellation Policy
    • Select a policy that should be applied for this event. This also determines when the cancellation button will be hidden from the My Bookings section if a cancellation end date was set up in the policy. 
    • Select no policy and members will be able to cancel right up to the event start time.
    • To setup a cancellation policy, select Cancellation Policies from the left navigation and click the New Policy button.

Notification

This will allow notification emails to be turned on/off and customization for this particular event.

  • Notify Member 
    • Unchecked: Do not sent email notification when there is a new, edited and cancelled registration for this event.
    • Checked: Send members an email notification when there is a new, edited and cancelled registration for this event.
      • The Email Notification tab at the top will be enabled to customize the header and footer section of the email template
  • Notify Club
    • Unchecked: Staff will not be email notified for each new, edited and cancelled registration for this event.
    • Checked: Enter email address(es) for staff at the club to receive email notification when there is a new, edited and cancelled registration for this event. More than one email can be entered, separated with a comma. 
  • Sender's Email
    • Unchecked: Email address the notification is going to be sent from is set from the Configuration section.
    • Checked: Enter email address the notifications should be sent from for this event. 

When Notify Member or Notify Club has been selected, notifications will be automatically emailed to members or guests with email addresses for all these scenarios. It's not possible to disable notifications for a particular scenario.
  • A Member registers for the event
  • A Member edits their booking
  • A Member cancels their booking
  • A Member is added to the wait list for an event
  • An Administrator makes a change to event settings or details
  • An Administrator creates, edits or cancels a member's registration
  • Administrator adds a member to the wait list for an event

Email Notification Tab

This is where administrators can preview and customize information to be added to the header or footer section of the email notification for a specific event. 

  • Email Preview button: Click the Preview button in the top right to see what the email confirmation looks like. All the information between the New Reservation title to Booking Notes cannot be edited. The event details and member registration details will auto populate accordingly for the event. 
  • Use custom Header Banner:  The text, links or images here will display at the top of the email confirmation. Content in the box was originally set up from the Event Management > Configuration section.
    • Select the checkbox to customize the notification for a specific event. Click in the box and the Edit Banner window will open with the standard content editor to make changes.
  • Use custom Footer Banner: The text, links or images here will display at the bottom of the email confirmation. Content in the box was originally set up from the Event Management > Configuration section.
