How to Create Event Types

Prior to creating an event in JAM/Encore or from the website an Event Type will have to be created using the Registration Required Event Format. These event types will appear on the website as Categories, where they could be color coded or used to create information only events directly from the website. 
One event type could be created for all registration events or separate event types to easily filter in JAM/Encore. On the website members would see the event types as categories and also be able to filter based on activities they are interested in (Examples: Dining, Social, Golf, etc.).



Create/Manage Event Type
  1. Login to Jonas Activity Management/Encore
  2. Select Event Management
  3. Select Event Types
    • One event type labelled Club/Member Event could already be setup
    • To easily find different types of events on the website calendar as categories, it is recommended to create separate event types (Examples: Dining, Social, Golf, etc.)
  4. Click New Button to create a new Event Type
  5. General Tab
    • Description: name of the Event type appears as category on website
      • displayed for members to see on website
      • max 35 characters
    • Active: Check the box for the facility to be accessible
    • Event Type Group:
      • Optional to create within JAM/Encore Event Type Group section to organize Event Types. Example: Member Events, Private Events etc...
    • Event Format:
      • Registration Required - this event type will appear in JAM/Encore and on the website as a category to create member events 
      • Banquet/Conference/Meeting - does not go to website and used to create private events only viewable in JAM/Encore
    • Event Type Background Color: Applicable for staff view in JAM/Encore
      • Color code Event Types to assist with distinguishing events by type within the Calendar and Facility views
        • Once configured, the background color of all events of that Event Type will appear with the specified background color
      • To indicate color on the website for the event type, go to website Event Management > Categories
    • Event Type Details for Club section (only affects staff when using Events in JAM/Encore)
      • Identify Registrants: Always(recommended) - a name for each registrant is required when members are booking from the website using integrated events
      • Default Registration Screen: 
        • Registrant Identification(recommended) this tab will already be selected to identify members when making a booking
        • Note: Quick registration(make a booking without identifying member) can be used in JAM/Encore but won't work for integrated events on the website
      • Default Wait Priority (Optional)
        • Select the priority applicable for this event type
      • Event Type Background Color: Applicable for staff view in JAM/Encore
        • Color code Event Types to assist with distinguishing events by type within the Calendar and Facility views
          • Once configured, the background color of all events of that Event Type will appear with the specified background color
        • To indicate color on the website for the event type, go to website Event Management > Categories
  6. Stages Tab
    • at least two stages should be defined Cancelled and another status (Confirmed, Planning, Closed)
    • select stage on left and click green arrow for it to appear on the right
  7. Staff Tab
    • at least one staff should have the Eligible box checked
  8. Facilities Tab
    • select which facilities are associated with this Event Type
  9. Event Notification Settings
    • Only applicable if you chose to set up and communicate different information in the email confirmation form for events created with this Event Type. 
      • Example additional information could be added for Social event types that isn't communicated in all other events
      • In the Email Settings and Notification Settings Tabs, Override Event Settings box should be selected
      • update information and select the correct form to be sent for this event type
    • If the same email confirmation form should be used for all Event Types the setup should be completed from Event Settings > Notifications, remember to also verify details in the Email Settings tab
  10. The other tabs are optional to setup for the Event Type
  11. Click Save
Repeat process to create additional event types or use Duplicate and change description and relevant information in the different tabs.
